1.1 Programme Description
Work Experience Programs in the UK are an excellent opportunity for young people to improve their communication skills and to gain insight in a professional work environment by actively taking part in the daily activities of a company. Placements can be found in many different areas subject to skills, background and availability. Applicants can indicate their preferences on the enrolment form. Placement Trust will advise applicants on individual opportunities after discussing the application in an initial telephone conversation. Please note that placements are mainly unpaid, but the majority of employers pay a contribution towards work-related lunch- and travel costs.
1.2 Who can apply
Work Experience Program is designed for students and recent graduates aged between 18 – 35 and who are interested in a work experience placement relevant to their educational background, previous training and vocational skills. Applicants also need to be motivated, flexible, and have good communication skills.
1.3 Applications
Work Experience Programs are open for enrolment all year. Placement Trust allows themselves 6 weeks to find a suitable placement. Please, bear this in mind and send the application in time. If applications are sent 6 weeks prior to preferred starting date, chances are we can only confirm a placement in the last week, leaving the applicant little time to prepare for departure. Placement Trust normally do not start applications more than 4 months in advance. The minimum duration of our placements for this program is 6 weeks; the maximum is 12 months. Placement Trust mainly organize full-time placements. Some placement preferences require a longer minimum stay.
| January to May | At least 6 weeks in advance |
| June to August | At least 10 weeks in advance |
| September to December |
At least 6 weeks in advance |
Please bear in mind that during short placements there will not be a lot of opportunity to be trained for complicated tasks and this will influence the tasks the applicant will be offered, regardless of background and skills.
1.4 Placement Procedure
a)Applications will be allocated to a personal adviser (Business Development Officer) within Placement Trust. The adviser will contact the applicant at least six weeks prior to the requested starting date for a telephone interview (10 weeks for a placement start in June/July/August), provided we have received the application in time. The purpose of this interview is to discuss placement preferences as well as possible opportunities or alternatives. It is therefore necessary to provide us with a daytime telephone number on which the applicant is available most of the times. If this is not possible it is the applicant’s responsibility to contact our organization for an interview.
b)Each applicant must provide us with an e-mail address that they can access from any Internet computer (e.g. Yahoo), in addition to post address and telephone number. E-mail will be used in case Placement Trust cannot reach the applicant by phone, if Placement Trust need to send urgent documents, to contact them outside working hours, and to send invitations for our activities.
c)After the initial telephone interview we will e-mail a summary of the telephone conversation and start to search for a suitable work experience placement. As soon as an employer has shown interest in an application Placement Trust will provide a ‘Job Description’ followed in most cases by a telephone interview with the potential employer. This interview will help to get an insight into the nature of the company and will enable to clarify any queries. Date and time of the interview will be agreed beforehand.
d)When a telephone interview has been successful Placement Trust will inform the applicant about the outcome normally within a couple of days. The placement offer should not be rejected unless the natures of the placement and/or key tasks differ significantly from those discussed. If the applicant does not accept a suitable placement offer Placement Trust will only offer one more alternative placement before the applicant may be withdrawn from the program and lose the registration fee as set out in section 5.
2 REGISTRATION
2.1 Checklist
To ensure that you have a full enrolment, please use the checklist enclosed in the application pack. Any missing document will cause delay to the application.
| Checklist | Use this as a cover for the application and tick off the documents as you are enclosing them in the required order. |
| Enrolment form | Please type or write in BLOCK LETTERS. Fill out all the required information to avoid delays in the application. |

| Cover letter (English, typed, maximum size 1 A4) |
This is a letter in which the applicant explains the motivation to come for work experience. The applicant can highlight some achievements of the CV that deserve more explanation. |
| Payment form/Proof of payment |
Please complete the payment form. If you pay by bank transfer, please enclose the copy of proof of payment. |
2.2 Further requirements
Our employers select suitable candidates on the basis of the CV and cover letter. Therefore it is important that these documents look professional and contain sufficient information to minimize chance of rejection due to lack of information. The CV should be clearly structured in sections: Personal Details, Educational Background, Work Experience, Skills (Languages, Computer, other), and Others (e.g. hobbies, special achievements, interests). CVs must include dates (month & year) for each educational and professional activity. The cover letter should be typed as a formal letter, well structured and professional. It can address the reader as “Dear Sir, Madam,”. Please ask us for more information if unsure.
Telephone interviews will be held English, depending on the requirement. This will be the only way for Placement Trust and for the employer to judge the candidate’s languages skills and decide on suitable tasks. Therefore, the candidate has to do the interview, without help in translation. Failure to abide by this rule may result in unsatisfactory placement arrangements where the candidate will be uncomfortable with tasks at an inappropriate level.
Fast communication is essential to secure an offer for the candidate. Work Experience Programs are competitive and applicants will miss opportunities if they fail to respond quickly. Placement Trust expect applicants to reply to our messages within 48 hours. Applicants who have planned holidays should still be reachable, or accept the possibility of delay in their application and missing out on opportunities. Placement Trust require e-mail address for each applicant to ensure fast delivery of urgent documents.
Upon placement confirmation Placement Trust will resend the job description with an agreement slip by fax or e-mail. Placement Trust must have received the signed job description on the fifth working day after confirmation. Failure may result in withdrawal of the offer and financial consequences as described in the section ‘Cancellation/Postponement’
Placement Trust strongly discourage applicants to make arrangements for travel and accommodation prior to confirmation of an offer. Placement Trust accepts no liability for transport, accommodation, or other costs in this matter by any means. Candidates are only covered by the Employer Liability Insurance during working hours.
Please inform to Placement Trust if you are looking for work placements/employment via other ways in addition to our WEP, to avoid complications.

4 POSTPONEMENT & CANCELLATIONS
Placement Trust offer the possibility to postpone the application up to one year from the day of postponement. In this case Placement Trust keep the fee and the enrolment pack. In this way, Placement Trust can re-open the application as soon as the candidate asks us, provided the new preferred starting date is within one calendar year from postponement. If the applicant still decides to cancel or cannot come back within a year, the postponement will be transferred to cancellation subject to the rules set out below (section 5.2). It is the candidate’s responsibility to notify us of reopening or cancelling the application. The advantage of postponement is that applicants who can come back within a year need not re-send a full application. Placement Trust may ask for an updated CV, and for a signed agreement of the Terms & Conditions if reopening the application in a new calendar year. By keeping the fee on our side we can avoid bank charges and administration costs caused by sending money over and back to cancel and reopen the application. After one calendar year the application will be archived and the applicant will have to enroll as a new candidate.
Candidates who cannot confirm acceptance of a placement offer within 5 working days have to inform us of the reason. Placement Trust may put the application on a temporary hold where we feel this is justified. In any case, we allow ourselves to offer the placement to another candidate after 5 working days if we have not received the signed job description. Placement Trust do not guarantee to keep the placement available for a candidate longer than 5 working days after the offer.
